The Office of University-Sponsored Research manages internally funded faculty-led research under KU’s Research Strategy as part of the University’s mission to be a leading research-intensive institution. Funding available to KU faculty ranges from initial individual start-up grants for new entrants to large multi-year center grants focusing on strategically impactful areas of research involving faculty groups and targeted local and international collaborations.
The Internal Awards Specialist position is within the Internal Awards & Collaboration team, which manages, supports and oversees the University’s internal funding portfolio.
- Coordinates administrative processes regarding receipt of financial and technical reports and related documentation from project investigators, ensuring proposals are current, accurate, and complete, and fully compliant with agency policies, procedures, and other requirements.
- Assist in capturing award details into financial databases and study management systems
- Ensures timely reconciliation of accounts, sub-awards/sub-accounts, contractual service agreements, no-cost extensions, requests for budget revisions, verification of internal sponsored project expenditures, fee projections, and account closures.
- Accurately record all research collaborator activities, including invoices and reports.
- Assist in tracking internal funding for researchers.
- Assists with tracking of proposed student assignments for internal grants and manages the reassignment of students between internal and external programs.
- Support timely review of technical reports at major project milestones.
- Make sure the internal KU portal pages related to internal rewards are up to date.
- Comply with the University’s information security and confidentiality policies and procedures and report breaches or other security risks accordingly
- Coordinate with other departments as needed to facilitate completion of tasks and responsibilities
- Perform any other tasks assigned by line manager

- A bachelor’s degree in management, finance or engineering is preferred.
- Experience working in a university/research administrative environment would be advantageous.
