Purpose of work
The Administrative Officer is responsible for providing overall administration to the designated office and coordinating the various business and operational functions, and assisting in developing and maintaining strong working arrangements with other University departments and external agencies to expedite work and ensure smooth operations.

Operational Responsibilities
- Provide assistance and support to designated offices in all day-to-day administrative and operational duties
- Coordinates support for University faculty as requested by the Dean and Department/Program Chairs.
- Coordinate IT, facilities related support for new entrants.
- Coordinates the work of administrative support staff to meet academic unit goals, objectives, and schedules.
- Provide administrative support such as handling logistics and answering telephone calls, welcoming and directing visitors, and resolving and/or referring a range of administrative questions and inquiries
- Arranging and coordinating departmental meetings, events, interviews, appointments and/or other similar activities, which may include calendar management, booking room facilities, coordinating and making other arrangements
- Maintain the confidentiality of departmental files, databases, records and/or other files; retrieve files and when required in accordance with Khalifa University policies and procedures
- Coordinate with finance and administration on behalf of direct managers and faculty members logistics related to conferences, conferences, seminars, travel (local and international), procurement, finance and IT matters;
- Provide support for department-related events such as conferences, seminars and presentations;
- Coordinate various projects and initiatives with line managers and follow up on issues in a timely manner
- Maintain departmental paper and electronic filing systems, storing all important documents, decisions, etc. for future reference;
- Interact regularly with a wide range of internal and external members, faculty and staff
- Provides a variety of administrative support functions.
- Comply with the University’s information security and confidentiality policies and procedures and report breaches or other security risks accordingly
- Coordinate with other departments as needed to facilitate completion of tasks and responsibilities
- Perform any other tasks assigned by line manager

- Bachelor’s degree in Business Administration or related field.

- Expats: At least 5-7 years of relevant experience.
- UAE Nationals: Minimum 0-1 year relevant experience
